Who QoLly is for. QoLly is a free practice management tool for VCNZ-licensed veterinarians, registered NZ veterinary clinics, and aftercare providers QoLly has invited. If none of these describes you, please don't sign up.

1. Who can use QoLly

You may sign up for a QoLly account only if one of the following is true:

You are a veterinarian currently licensed and in good standing with the Veterinary Council of New Zealand (VCNZ). You'll be asked for your VCNZ license number at sign-up.
You are signing up on behalf of a registered New Zealand veterinary clinic, and at least one VCNZ-licensed vet works at that clinic.
You are an aftercare provider (cremation, keepsakes, supplies) who has been directly invited by QoLly and accepted that invitation.

Pet owners do not sign up for QoLly. Owners only ever interact with the short link a vet sends them by text or email — they don't create an account.

2. What it costs

QoLly is free for vets and clinics. There is no trial, no card on file, no per-case fee, and no paid tier. We earn money from aftercare providers who pay to be listed in our directory and from optional supplies (e.g. clay paw-print kits) — never from you.

If we ever change this — we don't plan to — we'll tell you well in advance and your data is yours to export.

3. Your account, your data

The patient and case records you create in QoLly belong to you and your practice. We store them so the software works. We do not sell them, share them with marketers, or use them to train AI models.

We share specific records with third parties only in these situations:

An owner's intake details (pet, address, time preferences, aftercare choice, consent) are shared with the aftercare partner you've selected in Settings, after each completed visit, so they can prepare the handoff.
Cloud infrastructure providers we use to run QoLly (hosting, database, email) handle data on our behalf under strict access controls.
Where we are required by NZ law (e.g. a lawful request from the Veterinary Council).

You can export your data or ask us to delete your account at any time by emailing ray@petaftercare.co.nz.

4. Owner messaging — never on your behalf

QoLly does not text, email, or otherwise message pet owners on your behalf. Ever. We draft messages and copy them to your clipboard; you paste them into your own iMessage, WhatsApp, or email thread and send them yourself. Any communication an owner receives that appears to come from you, comes from you.

5. Controlled drug (S8) records

QoLly's S8 register helps you track safes, bottles, batches, expiries, recipes, prepared vials, and ledger entries. You remain professionally responsible for the accuracy and completeness of your controlled drug records under VCNZ requirements and NZ Misuse of Drugs Regulations. QoLly is a tool; the regulatory accountability is yours.

6. The locum board

The locum board at qolly.co.nz/locum is a free notice board for NZ vets and clinics. Listings show only region and dates publicly — never your name or clinic name. To post, you'll need a valid VCNZ license number or registered NZ clinic name. Don't post listings that aren't real, and don't use the board for anything other than locum cover.

7. Aftercare partner relationships

Aftercare providers listed in QoLly's directory have been invited and accepted by us. They are independent businesses; your commercial relationship is with them, not with QoLly. If you have a dispute with an aftercare partner, please raise it with them directly — we're happy to help connect you, but we don't arbitrate.

8. Acceptable use

Please don't:

Share your sign-in link with anyone else, or sign in to QoLly as a vet you're not.
Use QoLly for anything other than your veterinary practice.
Try to reverse-engineer, scrape, or interfere with the running of QoLly.
Submit information that isn't yours to submit (e.g. another vet's license number, an owner's details without consent for the purpose at hand).

If we believe an account is being used outside these terms — particularly if you turn out not to be a VCNZ-licensed vet or registered NZ clinic — we may suspend the account and remove its data.

9. No warranty, limited liability

QoLly is provided as-is. We work hard to make it reliable, but software has bugs and infrastructure has outages, and we can't guarantee QoLly will be available, error-free, or fit for any particular purpose. To the maximum extent permitted by New Zealand law, our liability for any claim related to QoLly is limited to the total amount you've paid us in the previous 12 months (which, since QoLly is free, is NZ$0).

This isn't us being slippery — it's the standard arrangement for free software. If something goes wrong, please tell us at ray@petaftercare.co.nz and we'll do what we can to make it right.

10. Changes

If we change these terms in a way that materially affects you, we'll email you at the address on your account before the change takes effect. The latest version always lives at qolly.co.nz/terms.

11. New Zealand law

These terms are governed by New Zealand law, and any disputes are subject to the exclusive jurisdiction of the New Zealand courts.
